Why is detailed planning with the venue important for a hackathon?

A hackathon puts far more strain on a venue than a typical corporate event: dozens of teams need reliable wifi that can handle everyone streaming and uploading at once, enough power outlets for laptops running for 12+ hours, breakout space for team huddles, a stage or screen setup for pitches, and clear sightlines for judges. If any of that breaks down mid-event, it doesn’t just inconvenience one person, it stalls every team at once.

Before we confirm a venue, we walk through the full day hour by hour: where teams register, where they work, where mentors circulate, where meals happen, and where the final pitches take place, plus a technical check that the internet connection can actually handle the concurrent load (this is the single most common point of failure we see when venues haven’t hosted a hackathon before). We also build in buffer time between phases, since transitions between working sessions, meals, and judging almost always run long if they aren’t planned for explicitly.

This is one of the reasons companies bring in a dedicated hackathon agency rather than handling logistics in-house. It’s covered in more detail on our agency page.
